BSA Online and Payments · Bravos Soccer Academy

Effective when published. Version prepared October 1, 2026.

Who this policy covers

Bravos Soccer Academy (“Bravos,” “we,” or “us”) operates BSA Online and Payments to administer our soccer programs. This policy covers information handled through our registration, family portal, staff operations, and connected QuickBooks features. It also explains technical information associated with our website. It does not replace the independent policies of Google, Intuit, or other services you choose to use.

For privacy questions or requests, contact info@bravossoccer.com or (818) 270-1121. Bravos serves families in Lancaster, California.

Information we collect

  • Family and player information: Parent or guardian names, contact information, player names, birth dates, program selections, language preferences, uniform sizes, and identifying numbers assigned by Bravos.
  • Registration and safety information: Emergency contacts, medical or accommodation information provided on registration forms, waiver acknowledgments, typed signatures, and photo-release choices.
  • Program records: Registration status, lesson packages, bookings, attendance, renewal responses, uniform transactions, and communications with Bravos.
  • Billing information: Charges, customer and invoice identifiers, invoice amounts and balances, payment status and allocations, receipts, and payment references. For Zelle matching, this may include the sender name and a reference checked by staff.
  • Technical information: Hosting and service providers may process IP addresses, browser and device information, request timestamps, and security logs. The parent web app may cache website content on your device for offline use.

Please do not send passwords, full card numbers, bank-login credentials, or unnecessary medical details through registration forms or ordinary email.

How we use information

We use this information to register players, communicate with families, support safe participation, organize coaching and uniforms, schedule lessons, record attendance, administer packages, create and reconcile charges, provide receipts, maintain business records, and investigate errors or misuse. Optional public use of player photos is handled through a separate photo-release choice; registration alone is not permission to publish a child's photo.

The application is not designed to collect full payment-card numbers or online-banking passwords. When you use an external payment service, that provider handles the payment details under its own terms and privacy policy. Bravos may receive transaction records needed to match your payment.

QuickBooks connection

Only an authorized Bravos business representative should connect the academy's QuickBooks company. Parents do not need to connect their own QuickBooks accounts.

Once authorized, the app can read customer and service-item records needed for billing, create and send staff-approved invoices, and read invoice and payment records to match amounts to players and charges. Invoice records may include the parent's email address, a service description, amounts, and a Bravos player identifier. The accounting permission granted by Intuit may be broader than the particular functions the app currently uses.

The system stores connection credentials and authorization tokens in the private Google Apps Script project rather than in the public website. People with sufficient access to that script project can access or change those settings.

Disconnecting the integration stops future authorized access through that connection. It does not automatically delete accounting transactions or records previously copied into Bravos's systems.

Who receives information

Information is available to Bravos personnel who need it for academy operations and to service providers supporting those operations. These include Google for forms, script execution, spreadsheets, email and calendars; Netlify for website delivery; and Intuit QuickBooks for connected accounting and payment-related services. Professional advisers may receive records needed for accounting, legal, insurance, or other legitimate business support.

We may disclose information when reasonably necessary to comply with law, respond to valid legal process, protect safety or rights, investigate misuse, or carry out a business transfer subject to appropriate safeguards. We do not sell app information or share it for cross-context behavioral advertising.

External links, fonts, maps, social-media services, and payment pages may involve processing by their providers. Their policies govern their independent services. This policy does not promise that all providers process information only within the United States.

Children and parent control

Registration and family-portal use are intended for adults acting for themselves or as a child's parent or legal guardian. We ask adults, not children, to provide registration information. Please do not allow a child to submit medical, contact, or payment information independently.

A parent or guardian may contact us to review or correct a child's record, request deletion subject to lawful retention needs, or change future optional photo use. If you believe a child submitted information without appropriate adult involvement, contact us so we can investigate and address it. Refusing information necessary for safe program participation may limit our ability to provide that program.

Access and security

We use provider security features, staff access controls, private records, and limited family-portal links to help protect information. No internet service or storage method is completely secure.

Treat a private family-portal link like a password: anyone holding it may be able to view the limited player information available through that link. Do not forward it or post it publicly. Contact Bravos promptly if a link is exposed or information appears incorrect. Medical and emergency-contact details are not displayed in the limited family portal.

Retention and your choices

We retain records for as long as reasonably necessary to administer the program and meet accounting, tax, safety, dispute-resolution, and other legal obligations. Retention depends on the record type and applicable obligations. Backups and third-party systems may retain information according to their own processes.

Contact us to request access, correction, or deletion, or to ask about available privacy rights. We may need to verify your identity and authority over a child's record. We will respond as required by applicable law and explain material limitations, including records that must be retained. Privacy requests will not be used as a reason for unlawful discrimination.

You can ask us to stop optional promotional communications. Necessary registration, scheduling, safety, and transaction communications may still be sent while you use the program. The QuickBooks administrator can revoke the app's connection through QuickBooks; see our disconnect instructions.

Changes and contact

We will post policy updates on this page and update the version date. Where required, we will provide additional notice or request consent for a material change.
